common problems and solutions

e-residents and Estonian company owners working through their annual report sometimes hit the same snags — file format mismatches, balance-sheet discrepancies, XBRL validation errors. this page collects the fixes so you can resolve them quickly and get back to the Estonian business register submission.

Bank statement upload fails with "Could not process the file"

This error appears when the app cannot read the file as a CSV. Common causes:

  • File is PDF, not CSV. Download the CSV format from your bank — PDFs are not supported.
  • File was opened and re-saved in Excel. Excel corrupts decimals and dates. Re-download directly from your bank as CSV without opening it.
  • File is empty or corrupt. Try downloading again.

Note on unknown formats: if the app does not recognise the format automatically (i.e., the file is not from LHV, SEB, Swedbank, Coop Pank, Revolut Business, Wise Business, or Luminor), it opens the column-mapping wizard — this is not an error. In the wizard, you tell the app which column is the date, amount, and counterparty. This works for Nordea, Danske, HSBC, N26, and many other banks.

My session got interrupted — do I have to start over?

Sessions auto-save at every step. Log back in → continue from where you left off. Bank statement transactions are saved immediately on upload — the file itself is discarded, but all parsed transactions remain in /categorize. Exception: if the server failed mid-upload (rare — e.g. connection dropped while sending the file), re-upload that file. Data lives in Supabase EU (Stockholm). Accidentally deleted a report? Email support — we'll check whether the data can be recovered.

Äriregister rejected my report — what now?

Common rejection causes: (1) bad XBRL — contact us with screenshots, (2) balance sheet imbalance (app blocks this, but report it), (3) missing prior-year comparatives — happens on first year or when Äriregister auto-load failed; fill on the portal directly, (4) missing Tegevusaruanne text (only required if mandatory for your company — not required for most micro-enterprises). Email support with the exact error message.

What happens to your data?

EU data residency (Supabase Stockholm + Zone.ee Estonia). AI only sees anonymised transaction descriptions + amounts — never your name, company name, or personal/registry codes. Reports kept 7 years (Estonian law minimum); GDPR Art. 15 / Art. 17 honoured within 30 days.

The PDF preview looks wrong — what now?

Always check /pdf preview before downloading XBRL. Wrong numbers usually trace back to: (1) miscategorised transactions on /categorize, (2) wrong EMTA data or Saldoteatis on /salary-tax, (3) bad prior-year openings on /review, (4) missing related parties. Fixing anything on an earlier step resets every step after it — you must re-confirm those steps in order (e.g. fixed assets → salary/tax → review) to regenerate the report, and "download" stays locked until you do. Then download the fresh PDF and XBRL on /export — they do not auto-refresh.

I missed the annual report deadline — what now?

File as soon as possible, in the same portal. The registrar may impose a fine without a prior warning, repeatedly, until the report is filed (Business Register Act § 57). After the deadline the registrar sets a new deadline with a warning of deletion; if that passes and at least three months have passed since the statutory deadline, the company may be deleted from the register (§ 61). The registrar may also start compulsory liquidation (§ 58). A deleted company can be restored within three years if it files the missing data (§ 64). Confirm current amounts at rik.ee or call 665 1111.
