categorizing and reviewing transactions
once your bank statements are uploaded, the app maps each transaction onto chart-of-accounts lines. this section explains how categorization works, what to do when the assistant cannot place a transaction, and how corrections are saved in the Estonian reporting framework.
My bank statement has a foreign-currency transaction — what do I do?
The current version supports EUR only. Non-EUR transactions are skipped during upload with a warning. Add skipped transactions manually in /categorize using "+ add cash entry", entering the EUR equivalent at the transaction-date exchange rate (Estonian daily reference rates at eestipank.ee).
How do I categorise bank fees and interest?
Bank fees (account maintenance, transfers) → Mitmesugused tegevuskulud. Interest received from bank → Finantstulud. Interest paid on loans/leasing → Finantskulud; for leasing, split interest and principal portions.
I or an employee paid a work expense personally — how do I categorise the reimbursement?
Categorise the reimbursement to the underlying expense account — not as salary or dividend. Examples: office supplies → Mitmesugused tegevuskulud; materials → Kaubad, toore, materjalid, teenused. Add a comment for traceability. Keep receipts for 7 years (EMTA requirement).
I paid a dividend to myself — how is it categorised in the bank statement?
A dividend payment is an equity reduction, not an expense. On /categorize, select Dividend osanikule as the category. The app automatically computes the equity adjustment in the balance sheet.
How do I handle transfers between my own business bank accounts?
Transfers between your own business accounts are not income or expense — select "Ülekanne oma kontode vahel" (internal transfer). The app auto-detects by IBAN. Important: transfers to/from your personal account are NOT internal transfers — they are dividends, board fees, or loans.
How does AI categorisation work?
For each transaction, we (1) match against patterns from your prior confirmations, (2) ask Claude for a best guess if no pattern matches (anonymous — no names sent), (3) you confirm on /categorize. AI never substitutes your judgement; every line must be reviewed.
AI gave a transaction the wrong category — how do I fix it?
On /categorize, click the category label on a row → dropdown → pick the correct one. Use "Apply to similar" to bulk-update the same counterparty. Corrections become patterns — next year's AI suggestions inherit them.
How do I split one transaction into multiple categories?
On /categorize, click "Split" on a row, enter amounts (in cents) and categories per line. The total must match the original amount.
A customer refunded me, or I refunded a customer — how do I categorise it?
You refund a customer: categorise to the same revenue category as the original (Müügitulu) — it reduces net turnover. Supplier refunds you: categorise to the same expense account as the original purchase — it reduces net cost.
How do I enter prior-year comparative data?
/review automatically loads prior-year balance sheet data from Äriregister when available. If not found, manual-entry fields are shown. New companies (first year of operation) skip prior-year data entirely — the XBRL will have no comparatives. If you need to enter values manually, refer to your previous annual report PDF (downloadable from Äriregister).
Balance sheet doesn't balance — what now?
The balance sheet must balance to the cent. If it doesn't: check (1) prior-year opening values match last year's report, (2) all months' bank statements are uploaded, (3) cash on hand is confirmed — if last year's report cash differs from your bank opening balances, the app asks on the upload page whether the difference is petty cash: confirm it, or go back and fix the bank opening balance, before continuing; current-year cash on hand is entered on /review, (4) December unpaid salary is included in /salary-tax. (5) If all of the above are correct, there may be a bug in the app — email support@nosweat.finance with the exact discrepancy amount and a screenshot. The app blocks progression until balanced — by design.
How is "retained earnings" calculated?
Retained earnings = prior-year retained + prior-year profit - dividends paid. Auto-computed if you've entered the prior-year values on /review. Dividends are pulled from bank transactions categorised as "Dividend"; ensure owner withdrawals are categorised correctly.
What is "equity" and where do I get the value?
Equity = assets - liabilities. Components: share capital (founding capital — typically €2,500 for new micro-companies), retained earnings (cumulative undistributed profits from prior years), current-year profit (auto-computed). Find share capital on your registry card at e-Äriregister.
